To reach the wedding weekend results consistent with the work you see in our portfolio, the process must be respected.
Below are the phases of our process and will be outlined in your customized planning journey.
PHASE 1
Foundation - Beginning Stages
Our foundation meeting will map out the framework, event goals, personal design style, scale and scope of the event weekend based on how many guests you hope to invite.
Personalized Planning Platform - Aisle Planner
Where we house all the details and guide you through our momentum meetings - checklist, vendor details, guest list tracking, seating assignments, budget mapping and more!
Budget Mapping + Management
Our foundation meeting will include our budget foundation call to get the “green light” for securing the remainder of your creative team.
Communication
Unlimited phone + email, in-person/virtual planning sessions outlined in your planning journey
Up to weekly, or every other week, momentum meetings, up to scheduled bi-monthly calls to touch base for consistent decision making.
PHASE 2
Planning Phase - Beginning Stages
Design Foundation - Pinterest Activity
This is where each client creates their own Pinterest board with 6-10 images, limiting them to 1-2 wedding images and the remainder being related to fashion, interior design, landscaping, travel, hobbies, etc. whatever may pull at your heart strings. Then each image is given 3 adjectives to help us understand what it is you love about each image.
This helps us understand you two and infuse your details into the big day.
Vendor Matchmaking + Timeline
We minimize your to-do list by providing a curated list of creative partners that match your style, along with routine re-caps to address any questions we were unable to answer on your behalf.
After our budget and foundation design meeting, we will do the work of reaching out to a select few ideal creative partners in each category to confirm availability and budget alignment, allowing you to make intentional and educated decisions on who to hire without the lengthy back-and-forth-email work.
As we piece together your vendor dream-team, we create a detailed timeline allowing all managed vendors to provide a seamless client experience for effortless setup and teardown the day of your celebration.
Guest Management
Our software allows easy tracking of RSVPs, meal selections, seating charts and more.
Epoch assists with seating chart display creation and providing final head counts to all vendors.
If we assist with room blocks and hotel logistics, our team will work with the hotel with their commissionable rate, so there is no out of pocket fee to the clients.
PHASE 3
Design Phase - 4 weeks out
5-4 weeks out from the event date we deep dive into design for the most up to date trends + rentals.
EPOCH assists in hand selecting & managing your design team with our excellent vendor-matchmaking skills, from fabrication, custom builds, rentals, linens, florals, stationery design, lighting, food selections & any other vendors pertaining to your design.
Our job is to translate your personality, taste and authentic style. Whether that means selecting colors that reflect the hues of your favorite vacation spot or stationery details inspired by the intricate tile at your first date spot - we are here to weave impactful details together.
A thorough design blueprint, complete with visual inspiration, color scheme & event layout is then curated.
We will provide an initial design rendering of the event space for final decision making
PHASE 4
Production Phase - 3-4 weeks out
Once the design blueprint is approved, Epoch gets to work securing inventory needed, having custom fabrications and builds started and making sure everything for the event is officially locked in for your wedding weekend.
Logistics
A complete logistics manifest and production framework is curated taking each vendor and creative partners needs into consideration within the location parameters for a seamless set-up, event weekend and strike.
PHASE 5
Management Phase - 1-2 weeks out
Our team finalizes detailed itineraries for each creative partner and the clients for all aspects of the wedding weekend, taking into consideration the needs of your photography and cinema team within venue parameters.
A detailed floorplan, load-in and load-out schedule is created within the venue parameters and final delivery schedules.

We need to make sure this is the right fit for both of us. Whether this journey is 12 months or 2 months, we have a lot to accomplish and want to make sure we are both excited to work with each other.
We require a quick discovery call and if we are the ying to your yang, planning clients will have a foundation meeting scheduled via Google Meet to go over preliminary topics such as our "get to know you" questions, budget + design foundation, and initial to-dos. You are introduced to your custom planning program for a stress-free planning season, and schedule our progress and momentum meetings.
